JOB OPENING: Administrative Assistant (Business & Personal)
Entry Level Position:
We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support with both business and personal administrative tasks. This role involves managing complex calendars, scheduling appointments, handling correspondence, and assisting with various projects. The ideal candidate will be detail-oriented, discreet, and able to prioritize effectively in a fast-paced environment.
Responsibilities
Business Support:
- Manage complex business calendars, coordinate meetings, and assist in preparing meeting materials.
- Industry Awareness: Maintain awareness of current events and popular culture relevant to our work
- Assist with project coordination and data entry.
- Assist in inputting travel arrangements into schedule organizing business travel arrangements, including flights, accommodation, and transportation.
- Assist in preparing reports, presentations, and other business documents.
Personal Support:
- Manage personal calendars, schedule appointments, and coordinate personal events.
- Handle personal correspondence and communication.
- Assist with minimal personal errands, travel arrangements, and scheduling household management tasks (arranging dog care, maintenance appointments, etc)
- Maintain confidentiality and discretion regarding personal matters.
Qualifications
- Proven experience as an Administrative Assistant or similar role.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Google Suite
- Ability to prioritize tasks and work independently.
- Strong attention to detail and accuracy.
- Comfortable talking on the phone.
- High level of discretion and confidentiality.
Hybrid Remote Position
Occasional in person meetings + minimal errands in Millbrook, NY
40 hours a week
